Organising team headshots: how we put the day together
Organising headshots for a team means finding a way to get everyone photographed while the business keeps running. Some people work across different locations or shifts. Others will be travelling or on leave. The finished photographs still need to look like one team, even when getting everyone together on the same day isn’t practical.
Putting a plan together with you
The first conversation gives us a chance to understand the job. There may be an established company style to follow, particularly if your Adelaide team needs to sit alongside colleagues photographed interstate. Or you may be updating the whole team and want some advice about the direction.
Looking at examples together helps us be specific. A reference photograph tells us much more than “professional headshots”, which can mean quite different things to different people. We discuss the expression and presentation you’re looking for, along with the lighting, background and framing needed to achieve it. Where the photographs will be used also matters, so we’re happy to work through those requirements with your marketing team.
From there, we prepare a quote and an editable run schedule. It accounts for our setup and gives each person time to be photographed and choose their image.
You populate the schedule with staff names and arrange their attendance internally. You know the commitments that need accommodating; we know how much time the photography needs. We work through the timings together and provide preparation information you can circulate with the appointments, including guidance on clothing and what to expect.
What happens in front of the camera
We arrive as a team of two with our full mobile studio. We’ve discussed the space and access with you beforehand, and allowed time to set up before the first appointment.
Once someone joins us, our attention is on making a photograph that works for them within the agreed company style. We describe this as “shooting for the shot”. We’re working towards a particular result, guiding their posture and expression until the photograph feels right for that person.
The camera is connected to a computer, so they can see the images as we take them. That gives us something to talk about together. They can see the difference a small adjustment makes and tell us what they’re comfortable with while we’re still in a position to change it.
Before each person leaves, we review the shortlist together, help them choose their image and discuss any retouching requests. You can expect finished photographs without having to circulate galleries and collect everyone’s decisions afterwards.

Finishing the job
We do the editing and retouching ourselves, so those requests stay with the photographers who met your people and made the images.
The finished files go to your nominated contact, correctly named and supplied in the agreed formats. Delivery timing is confirmed for the job, so you can plan the website update or pass that information on to your team.
Anyone who misses the day can attend our Dulwich studio for a matching headshot. We also retain the photographic details for future onboarding appointments, so the work done establishing your team’s style continues to be useful.
If you’re organising a team update, send us your approximate numbers and timing, along with any existing photographs you need to match. We’ll work through the requirements with you and put a proposal together.
